ROLE AND RESPONSIBILITIES

Job Summary

The Distribution Coordinator is responsible for processing patient orders, expediting shipments and problem resolution with vendors.   They will also participate in the day-to-day distribution activities of pick pack, receiving and inventory.  The position is part of a small team, so they will occasionally work to cover other departmental responsibilities like processing incoming returned equipment, restocking and inventory counts.  The position is responsible for end-to-end order processing and will need to communicate with vendors via outbound phone calls to determine status and resolve disputes.  It requires a professional attitude as well as a strong desire to support individuals who are managing their health issues.

Job Responsibilities

• Processes patient supply and equipment orders into the appropriate applications based on work instructions and protocols.

•  Resolves issues and expedites customer shipments with common carriers

•  Works with vendors to resolve incorrect shipments, replacement orders and credits

•  Creates and maintains patient equipment records in appropriate applications based on work instructions and protocols.

•  Places orders with vendors to replenish inventory of equipment and supplies

•  Acts as a secondary processor of customer shipments

•  Acts as a secondary processor of incoming goods receipts

•  Cleans and prepares returned patient equipment for redeployment

•  Maintains system records for all serialized patient equipment

•  Organizes and prioritizes daily work to ensure all responsibilities are kept current

•  Coordinates with multiple departments to resolve patient order issues

•  Demonstrates a commitment toward meeting and exceeding the needs of our customers and consistently adheres to customer service standards

•  Maintains strict adherence to company policies and confidentiality agreements

•  Maintains courteous and effective interactions with colleagues and management

•  Performs other duties as directed or assigned to meet the needs of the department

SKILLS AND QUALIFICATIONS REQUIREMENTS

•  Knowledge of customer service and orders processing best practices

•  Knowledge of direct-to-consumer distribution processes

•  Knowledge of inventory controls

•  Ability to learn and follow HIPAA guidelines to ensure patient privacy

•  Ability to communicate with vendors

•  Ability to communicate and work closely with other departments  

•  Excellent verbal and written skills

•  Strong computer skills and able to adapt quickly to new applications

•  Ability to follow documented instructions

•  Good organizational skills and the attention to detail 

•  Knowledge of basic medical terminology preferred

•  Strong problem-solving abilities and analytical skills to ensure patient needs are met

•  Accurate typing skills with a minimum of 45 WPM

EDUCATION REQUIREMENTS

•  High school diploma or GED

•  Six months – 1-year orders processing experience 

•  1 year of customer service or call center experience preferred.

PHYSICAL REQUIREMENTS

•  Prolonged periods of sitting at a desk and working on a computer.

•  Must be able to lift 50 pounds at times.

•  Must be able to access and navigate each department at the organization’s facilities.
